Extension Terms and Conditions

CONDENSED VERSION:

The Extension Program is a premium, year-long training experience designed to stretch young performers creatively, build confidence and professionalism, and offer high-level artistic opportunities. This summary outlines the key commitments and expectations. The full Terms and Conditions (outlined below) remain the formal agreement.

Nothing in these Terms and Conditions limits or replaces your rights under the Australian Consumer Law.

  1. Year-Long Commitment
    The Extension Program is a premium 12-month training experience. By enrolling, you are committing to the full calendar year and completing the full annual payment schedule. This supports the student’s growth, consistency, and the integrity of the ensemble.

     

  2. Payments
    All fees follow the instalment plan outlined in your Letter of Offer or website checkout. Deposits and fees are generally non-refundable except where required by Australian Consumer Law. Missed classes or changes of mind do not alter the payment obligation.
    If fees fall overdue, AAA may pause participation in special projects, workshops, or showcase involvement until payment is resolved.

     

  3. Attendance and Ensemble Responsibility
    Extension is ensemble-based. This is not a casual weekly class; it is a structured, year-long program run like a professional ensemble. Students are expected to attend weekly classes and scheduled events unless prevented by illness or unavoidable circumstances. Make-up classes are not guaranteed. Minimum attendance may be required to participate in special projects or the annual showcase.

     

  4. Creative Stretch and Growth
    Extension is designed to challenge students creatively. It is normal for students to feel uncertain or uncomfortable at times. Before considering withdrawal, families are asked to book a meeting with AAA so we can support the student through their growth process.

     

  5. Withdrawing from the Program
    Enrolment is for the full year. If withdrawal is necessary before year-end, families must notify AAA in writing and request a meeting. Notice should be given as early as possible and no later than the Friday of the final week of the current term.
    Fees for the current term remain payable. Costs for major inclusions already delivered or committed to may also still apply. Any cancellation fees will be limited to reasonable costs already incurred by AAA which cannot be recovered.

     

  6. Behaviour, Safety and Conduct
    AAA maintains a safe, supportive environment. Students must behave respectfully, follow staff direction, and uphold AAA values. AAA has zero tolerance for alcohol, drugs, bullying, harassment, or unsafe behaviour. Serious misconduct may result in suspension or removal.
    Parents and carers must engage respectfully with AAA staff.
    AAA may remove a student from an activity if their behaviour places themselves or others at risk.

     

  7. Pick-Up Times
    Parents agree to collect students promptly at the end of classes, rehearsals, and events. Repeated late pick-ups may affect continued enrolment.

     

  8. Media and Filming
    Media participation is required for the Extension Program. By enrolling, families consent to photography, filming, and creative documentation for artistic and promotional use.
    Families with unique safety concerns may discuss this with AAA, but full media exclusion cannot be guaranteed.

     

  9. Communication
    All important communication is sent via email. Families are responsible for keeping contact details updated and reading communications.

     

  10. Agreement
    By enrolling in the Extension Program or completing checkout on the website, families confirm they understand and agree to these Terms and Conditions. These operate alongside AAA’s general Terms and Conditions available on the AAA website.

FULL TERMS AND CONDITIONS

These Terms and Conditions outline the commitments, boundaries, safety expectations, and financial arrangements that ensure the highest quality experience for every student.

By accepting the Letter of Offer, enrolling via the website checkout, or commencing the program, families agree to the following Terms and Conditions.

1. Program Overview and Commitment
The Extension Program is purchased as a full-year training package, not a term-by-term class. Fees may be paid in full upfront or via deposit and monthly instalments as detailed in the Letter of Offer.
This structure enables AAA to plan and deliver specialist coaching, headshots, creative development, and performance opportunities.
Enrolling in Extension means committing to the full learning journey and contributing to the integrity of ensemble-based work.

 

2. Fees, Payments and Refunds
 

 2.1 Payment Structure
Families agree to complete the annual payment schedule set out in the Letter of Offer or website checkout, regardless of attendance.

 

2.2 What Fees Cover
Extension fees contribute to weekly Extension classes, guest specialist workshops, performance and camera training, the annual special project (such as film or equivalent creative work, where applicable), professional headshots, Extension Day events, the annual showcase, and administrative, venue, equipment, staffing, and production costs.
Inclusions may vary slightly each year to ensure quality.

2.3 Non-Refundable Components
Deposits and annual fees are generally non-refundable except as required by Australian Consumer Law. No refunds or credits are provided for change of mind, absences, or mid-term withdrawal.

2.4 Outstanding Fees
If fees become overdue, AAA may pause participation in special projects, workshops, film work, or showcase components, and may suspend enrolment until payments are resolved.

2.5 Withdrawal After Major Inclusions
If a student withdraws after AAA has committed to or delivered major costed components such as specialist coaching, headshots, or special project filming, a cancellation fee limited to reasonable costs already incurred by AAA which cannot be recovered may apply

 

3. Attendance, Participation and Artistic Growth

3.1 Ensemble Commitment

Students are expected to attend all weekly classes and scheduled events unless prevented by illness or unavoidable circumstances. Absences should be communicated in advance where possible. Make-up classes are not guaranteed.
 

3.2 Minimum Involvement
Minimum attendance may be required for participation in the showcase, special projects, or performance-based components.

3.3 Creative Stretch, Challenge and Growth
The program is intentionally challenging. Students may feel discomfort or uncertainty at times, which is part of the artistic development process. Before considering withdrawal, families are encouraged to book a meeting with AAA to explore support options, confidence-building strategies, or appropriate adjustments.

 

4. Withdrawing from the Program
 

4.1 Annual Commitment
Enrolment is for the full calendar year. Families commit to the full annual fee whether paid upfront or in instalments.

 

4.2 Requesting Withdrawal
If a family needs to withdraw before year-end, written notice is required. Notice must be given as early as possible and no later than the Friday of the final week of the current term for a withdrawal intended to begin at the start of the following term.


This date exists for planning purposes and does not imply term-by-term enrolment.

4.3 Fee Responsibility After Withdrawal Notice
Because the program is purchased as a full-year package, the following remain payable:

  • all fees for the current term
     

  • reasonable costs for major inclusions already committed to
     

  • the following term’s fees if notice is received after the term cut-off due to staffing and production commitments already underway
     

4.4 Progress Meeting
AAA will meet with the family and student before any withdrawal is finalised to discuss progress, reasons for withdrawal, potential adjustments, ensemble impacts, and applicable costs.

 

5. Behaviour, Conduct and Safety
All students and families must follow AAA’s Child Safety Policy, Code of Conduct, and Behaviour and Wellbeing Policy.

 

5.1 Student Behaviour Expectations
Students must behave respectfully and safely, follow staff instruction, treat peers with kindness, contribute positively to ensemble culture, and uphold AAA values.

5.2 Zero-Tolerance for Serious Misconduct
AAA maintains a strict no-alcohol and no-drug policy for students. The following may result in immediate suspension or termination:

  • arriving at any AAA activity intoxicated
     

  • possession or use of alcohol or drugs
     

  • bullying, harassment, intimidation, or discrimination
     

  • violence or unsafe behaviour
     

  • wilful property damage
     

  • repeated policy breaches despite support
     

  • any behaviour placing self or others at risk
     

5.3 Parent Conduct Expectations
AAA may restrict participation or terminate enrolment if a parent or carer behaves aggressively or disrespectfully toward staff or students, repeatedly disregards safety expectations, or undermines AAA’s ability to deliver the program safely.

5.4 Parent Punctuality
Parents agree to collect students on time at the end of classes, rehearsals, and events. Repeated late pick-ups may impact ongoing enrolment.

 

6. Changes to Program Offering
AAA may make reasonable adjustments to program content, scheduling, staffing, or inclusions as needed. AAA is not liable for disruptions outside its control such as weather events, venue issues, or public health directives. Where feasible, AAA will provide equivalent or alternative experiences.

 

7. Media, Filming and Creative Documentation
 

7.1 Media as a Core Component
Media participation is required. By enrolling, families consent to photography, filming, and creative documentation for artistic, educational, and promotional use. Students may appear in group or ensemble media where individual exclusion is not feasible.

 

7.2 Limited Exemptions
Families with unique safety concerns may discuss their circumstances with AAA. Complete media exclusion cannot be guaranteed and may limit participation in core program components.

  1. Communication
    All major communication is sent via email. Families must keep contact details current, read communications, notify AAA of absences or wellbeing concerns, and inform AAA promptly if running late.

     

  2. Agreement and Acceptance
    By accepting the Letter of Offer, enrolling via the website checkout, or commencing the program, families confirm that they have read, understood, and agreed to these Terms and Conditions.
